
Archive Rental Policies
Production Rental Rates
Production rental fees are calculated in the following manner:
• 1st week Full list price
• 2nd week + 25% of full list price
Services include pulling all items from stock and personal consultation with the costume rental manager. Additional shipping and handling charges will be applied as needed. Production rental rates are only available to the production costumer. All production rentals must schedule appointments.
Walk-In Rental Rates
All rentals not scheduled through Archive production staff are considered walk-in rentals. Rental rates are the full listed rental price. A 50% discount is available for second and third consecutive day rentals.
Cleaning and Maintenance Fee
A fee of 10% of the total rental price will be assessed for cleaning and maintenance.
Deposits
A 25% non-refundable deposit is required before any production rental may be taken for approval. The deposit will be applied to the final rental cost. The balance of the rental is due by the contracted return date. In the event of a production cancellation, the 25% will be considered the cancellation fee.
A $125 refundable deposit is required for each walk-in costume piece rental. Any rental with an actor or employee discount is required to leave this deposit.
A $50 refundable deposit is required for accessory rentals up to $25.
Production Credit
It is required that credit be given to Archive Costumes for costume rental in any program or printed material listing production credits.
Maintenance
Strict adherence to cleaning and maintenance instruction is mandatory. Replacement or distress fees will be assessed for any costume piece that has been damaged due to incorrect cleaning procedures. It is highly recommended that dress shields be used in the garments.
Repairs
All items are expected to be in good condition upon return. Any alteration made to a costume piece is expected to be removed before its return.
If repair is needed for a costume piece it is expected that measures be taken to ensure the piece incurs no further damage. With this in mind we do ask that care be taken when repairing an article of clothing.
For example:
• please use matching thread when repairing seams
• do not use pins to alter a piece, it only worsens the tear or causes more distress
• never use tape on the garments
Repair kits will be sent with production rentals if available. Repair kits will have additional textile pieces for mending as well as buttons, trims, and closures. If there is any question in regards to a repair, please contact an Archive representative for further instruction before the repair is made.
Distress
Fees will be imposed for all distressed costumes. These fees will be determined on a per item basis and can be up to 100% of the list price. If irreparable distress is present, a replacement fee will be applied. Distress is defined, but not limited to:
• any costume with exposure to smoke of any kind
• any tear in the garment longer than 1/2" or any tear against the grain of the fabric
• any garment that is stained or requires additional cleaning procedures
• any alterations not previously approved by Archive management
• missing buttons or closures
• any item with adhesives or adhesive residue
• any distress due to pinning of the garment
Any fees assessed for distress will be due within 30 days of billing or legal action will be taken.
Methods of Payment
• Visa, Master Card, Discover, and American Express• cash
• personal checks up to $200
• business checks conditional upon bank approval
• purchase orders
• money orders
• ITEX gift certificates (no ITEX will be accepted during October)
Returned checks will be handled through check rite services.
Late Fees
Any item not returned on the contracted return date is subject to a late fee. A fee of 100% of the costume list price per costume piece will be assessed for each day the rental is late up to 5 days. After the 5 day grace period, an additional replacement fee will be imposed.
Permanent suspension of rental privileges will result for any account that has items not returned within the 5 day grace period.
Replacement Fees
Replacement fees will be 5 times the rental list price. Replacement fees will be assessed for the following conditions:
• items not returned within the 10 day grace period
• any permanent alterations to a garment
• any irreparable distress or damage to a garment
Replacement fees will be due within 30 days of billing or legal action will be taken. All costumes, whether damaged, or a replacement value has been paid, are original designs and/or unique property of Archive Costumes and will remain property of Archive Costumes and the Hale Center Foundation for the Arts and Education.
Vintage Garments
Due to the irreplaceable nature of Archive's vintage garments, the replacement fee for any garment from the 1960s or earlier will be 8 times the rental list price and distress fees can be up to 200% of the rental list price. Parent or guardian signature is required for any vintage rental to minors under the age of 18. Please keep in mind that older garments tend to be more fragile and assessment of distress or replacement fees is stringent.
Cancellation Fees
48 hours notice must be given on all rental cancellations or the security deposit will be applied to the full rental price of any costumes on reserve. There will be a $8.00 cancellation fee assessed for each costume cancelled. The cancellation fee will be waived if notice is given 5 working days in advance of the pick-up date. All cancellations will be assessed fees for the month of October. All cancellations must be made with an Archive employee.
Legal Fees
Any fees that are incurred as a result of legal proceedings are the responsibility of the lessee. Permanent suspension of rental privileges will result for any account sent to collections. Jurisdiction for all disputes will be the State of Utah, County of Utah, and will be decided pursuant to the laws of Utah. All parties agree to submit to the jurisdiction of Utah courts.
Actor Discounts
Actors who perform in any Hale Center
Theater Orem production are given a rental discount of 50%. This
discount is good for 1 year from the closing date of the production in
which they have performed. This discount is NOT AVAILABLE for the month
of October- no exceptions. This discount is for the performers and
their immediate family only. This discount is for individual use and
may not be used for any production rental. Employee discounts are available if negotiated through an Archive manager.
All additional discounts are to be pre-approved by the Costume Director.
